GoHighLevel Initial Setup Checklist: What to Configure Before Your First Funnel

Getting your GoHighLevel account ready before building your first funnel is not optional — it is the difference between a system that works reliably and one that breaks at the worst possible moment. This checklist walks you through the foundational configurations every new user should complete, in the order that makes the most sense technically.

1. Account and Agency Settings

Before touching a single funnel page, spend time inside Settings at the agency or sub-account level, depending on your plan tier.

Steps to complete:

  1. Navigate to Settings → Agency Settings (agency-level users) or Settings → Business Info (sub-account users).
  2. Fill in your Business Name, Address, Phone Number, and Time Zone. The time zone setting affects every automation, scheduled message, and reporting timestamp — getting it wrong creates hard-to-diagnose problems later.
  3. Upload your Logo and set your brand colors if your plan includes white-labeling options.
  4. Verify your Agency Email Address is a real, monitored inbox. System alerts and billing communications go there.

If you are on an agency plan managing multiple sub-accounts, create your first Sub-Account now rather than working directly in the agency-level view. Almost all client work should live inside sub-accounts, not the agency shell.


2. Email and SMS Sending Infrastructure

This step is where most new users skip ahead and later wonder why their messages land in spam or fail to deliver. Configuring your sending infrastructure properly is non-negotiable.

Email Domain Authentication

  1. Go to Settings → Email Services (location may vary by plan and interface version).
  2. Connect your preferred email sending provider. GoHighLevel uses LC Email (its built-in system) or allows integration with third-party SMTP providers such as Mailgun or SendGrid, depending on your plan.
  3. Add your Sending Domain and complete the DNS records (SPF, DKIM, and DMARC) in your domain registrar. Do not skip DMARC — major email providers now enforce it.
  4. Send a test email and verify it passes authentication checks using a free tool like MXToolbox.

Phone Number and SMS

  1. Go to Settings → Phone Numbers and purchase or import a number.
  2. Complete A2P 10DLC registration if you are sending SMS to US recipients. This is a carrier-level compliance requirement — unregistered numbers face filtering and potential suspension. The registration process can take several business days, so start it immediately.
  3. Set your Missed Call Text Back defaults if you plan to use that feature.

When GoHighLevel may not be ideal: If your primary channel is transactional email at high volume (millions of sends per month), a dedicated ESP like SendGrid or Postmark with direct API control will give you more deliverability tooling than GHL's built-in system.


3. Integrations and Connected Services

GoHighLevel works best when it is connected to the tools your business already depends on. Configure these before building automations so you can reference them inside workflows.

  1. Go to Settings → Integrations.
  2. Connect your Google My Business account if you use it for reviews or local presence.
  3. Connect Google Analytics and/or Facebook Pixel under the funnel/website settings — this is done per-funnel later, but verify the accounts are linked now.
  4. Set up Stripe (or your preferred payment processor) under Settings → Payments. Test with a small transaction before going live.
  5. Connect your Calendar (Google or Outlook) under Settings → Calendars → Connections so that appointment bookings sync to your real calendar.
  6. If you use Zapier or Make (formerly Integromat), locate your API Key under Settings → API and store it securely.

4. Calendar and Appointment Configuration

Many funnels end with a booked call. If your calendar is not configured correctly, you will create a broken experience before the lead ever speaks to you.

  1. Go to Calendars → Calendar Settings.
  2. Create at least one Calendar and define your Availability Hours, Appointment Duration, Buffer Time, and Max Appointments Per Day.
  3. Set up Confirmation Emails and Reminder Sequences inside the calendar settings — these are separate from your general automations.
  4. Embed the calendar booking widget on a test page and book a ghost appointment to confirm the entire flow works end to end.

5. Pipeline and CRM Baseline

Your funnel will generate contacts. Before it does, define where those contacts go and how you will track them.

  1. Go to CRM → Pipelines and create at least one pipeline with named stages that reflect your actual sales process. Generic stage names like "Stage 1" create confusion later.
  2. Set up basic Custom Fields under Settings → Custom Fields for any data points your forms will collect that do not exist as default fields.
  3. Define at least one Tag naming convention and document it. Inconsistent tagging is one of the leading causes of broken automations.

Common Errors and Troubleshooting

Emails going to spam immediately after setup: The most common cause is incomplete DNS configuration. Revisit your SPF, DKIM, and DMARC records. Allow 24–48 hours for DNS propagation before concluding there is a deeper problem.

Appointments not syncing to external calendar: Confirm that the correct Google or Outlook account is connected under Calendars → Connections, not just under Settings → Integrations. These are separate connection points in the interface.

SMS messages not sending: If your A2P 10DLC registration is pending, messages to US numbers may be filtered. Check the registration status under Settings → Phone Numbers. Do not attempt to work around this by buying additional numbers — carriers flag that behavior.

Automation not triggering after funnel submission: Verify that the workflow trigger is set to the correct Form or Funnel Step and that the workflow is toggled to Published, not Draft. Many workflows silently fail because they were never activated.

Sub-account settings overriding agency defaults unexpectedly: GoHighLevel has a layered permission system. If a sub-account setting differs from the agency default, the sub-account value typically wins. Audit sub-account settings individually rather than assuming agency-level changes propagate everywhere.


Completing this checklist takes one to three hours depending on your DNS experience and whether you need to gather credentials from third-party services. That investment up front prevents a category of problems that are genuinely difficult to debug once a funnel is live and contacts are flowing through. Once every item on this list is verified, you are in a stable position to start building.
