Configuring your calendar correctly in GoHighLevel is one of the most impactful steps you can take during initial platform setup. A misconfigured calendar leads to double bookings, missed appointments, and a frustrating experience for both your team and your clients. This guide walks you through the core settings for availability and booking rules, explains what each option does, and highlights the mistakes users most commonly make.

Understanding Calendar Types Before You Configure Anything

GoHighLevel offers more than one calendar type, and choosing the wrong one before touching availability settings will create problems you cannot solve by adjusting hours alone. The main types you will encounter are:

  • Simple Calendar — designed for one-on-one appointments assigned to a single team member or resource.
  • Round Robin Calendar — distributes incoming bookings across multiple team members based on availability or a rotating order.
  • Class/Event Calendar — allows multiple attendees to book the same time slot, useful for group sessions or webinars.
  • Service Calendar — tied to service-based workflows where specific resources (rooms, equipment) need to be managed alongside staff.

If you are a solo operator or a small agency booking discovery calls, the Simple Calendar is almost always the right starting point. Setting Up Availability Windows

Once your calendar type is selected, navigate to Calendars in the left sidebar, click Create Calendar or open an existing one, and go to the Availability tab.

Defining Working Hours

  1. Select the days of the week you want to accept bookings by toggling each day on or off.
  2. For each active day, set your Start Time and End Time using the time fields provided.
  3. If you need a mid-day break (for lunch, for example), use the Add Break option to block a time range within a working day — not all plan tiers surface this in the same location, so check your interface version.
  4. Set your Timezone explicitly. GoHighLevel can inherit a default from your account settings, but overriding it at the calendar level avoids confusion when team members or clients are in different regions.

Slot Duration and Buffer Times

Slot duration controls how long each appointment is. Buffer times — sometimes called Pre-Buffer and Post-Buffer — add padding before and after each booking so you can prepare or follow up without the next appointment starting immediately.

  • Set Slot Duration to match your actual meeting length (30 min, 60 min, etc.).
  • Set Pre-Buffer if you need setup time before calls.
  • Set Post-Buffer for note-taking, CRM updates, or travel between physical appointments.

Avoid setting buffers so large that you eliminate usable slots. A common mistake is adding a 30-minute post-buffer to a 30-minute call, which effectively halves your daily capacity.

Configuring Booking Rules and Restrictions

The Booking Rules section (sometimes labeled Advanced Settings depending on your GoHighLevel version) controls the logic around when someone is allowed to book.

  1. Minimum Scheduling Notice — sets how far in advance a booking must be made. If you need at least 24 hours to prepare, enter 1440 minutes (or the equivalent day-count field if your interface uses days). This prevents last-minute bookings that catch you off guard.
  2. Maximum Days in Advance — limits how far into the future a client can book. Setting this to 30 or 60 days keeps your schedule manageable and avoids bookings so far out that contact goes cold.
  3. Max Bookings Per Slot — relevant for Class/Event calendars. For one-on-one calendars, this is usually locked at 1.
  4. Seats Per Slot — appears in group/class configurations; controls how many attendees can register for the same time block.
  5. Auto-Confirm vs. Pending Approval — decide whether bookings are confirmed instantly or held for manual review. If your service requires a qualification step before confirming a meeting, set bookings to Pending and use an automation to notify your team.

Connecting External Calendars

GoHighLevel can sync with Google Calendar and, depending on your plan, with Outlook. This sync allows the platform to check for existing events and block those slots automatically, preventing double bookings. To enable this:

  1. Go to Settings → Integrations (or My Profile → Calendars for individual user-level sync).
  2. Connect your Google or Outlook account.
  3. Return to your calendar's availability settings and confirm that Check for Conflicts is enabled.

Without this step, GoHighLevel has no visibility into appointments booked outside the platform, and double bookings will happen.

Common Errors and Troubleshooting

Even with careful configuration, users run into predictable issues. Here are the most frequent ones and how to address them.

Bookings appearing outside your set hours This almost always points to a timezone mismatch. Verify that the timezone on the calendar matches the timezone in your Sub-Account Settings. If they conflict, the platform may calculate availability in one zone while displaying slots to the client in another.

No available slots shown to the client Check in this order: (1) Are the correct days toggled on? (2) Is the minimum scheduling notice window so large that it blocks all near-term slots? (3) Is there a connected external calendar with events filling the entire day? (4) Is the slot duration longer than the available window between your start time and end time?

Round Robin not distributing evenly Confirm that all team members assigned to the calendar have individually connected their external calendars. If one member's calendar is not synced, the system may see them as always available and route all bookings to them.

Confirmation emails not sending after booking Calendar confirmation emails are triggered by automations or the built-in notification settings, not by the calendar configuration itself. Navigate to Calendar Settings → Notifications and ensure confirmation and reminder emails are toggled on and that the email templates are not empty.

Buffer times not appearing on the booking page Buffers are internal — they affect when the next slot is offered but are not displayed to the person booking. If your goal is to communicate buffer time to clients, add it to the appointment description or confirmation email template.
